How To Implement Effective Team Meetings Today

For training purposes for my team, I use an online workwiki called EditMe. We've built that up over time and that's a good place for someone to start. If you don't have that yet, and it's probably something you'll work towards over time, then you can look at sending your new employee to the 30 Day Challenge.

To manage the team, we hold regular team meetings. Team meetings, we run these more on a monthly or couple of months' basis. We have two types of team meetings, one in the office where it's more strategic and we talk about what it is that we're going to be working on and also what everybody else has been working on, just so everybody gets a feel for what's going on.

Then we also have a team meeting that we do via Skype and that's every month or every two months. That's to join all of the assistants together. They can feel very disconnected and often there is no real interaction between one virtual assistant and another virtual assistant, so they don't really know what's going on and they can feel disconnected. It's all about making them feel like they're part of the team. So it helps overcome the space gap and it helps them to know where they fit because there is an overall picture that is going on.

You want to understand when I write an Ezine article and it gets published here, the reason I am doing that is because it is going to help promote this part of the site or it's part of this component of the SEO Method or whatever it may be. You want them to understand where it is that they fit in the overall picture.

As I said, every month or so, we hold our team meeting and they're usually about forty-five minutes long. The usual standard process for what we go through, first I'll talk about what I've been working on and what's going on in the business as a whole. So we'll spend usually fifteen minutes and say, over the past month, here are the different tasks that I've been working on, here's what we've got coming down the pipe for Melbourne SEO or some of the different projects we've got.

Then we throw it open to the team and each team member gets an opportunity to talk about for a few minutes what they've been working on. So they'll sit there and say, I've been doing this, I've been doing that, here are the different tasks that I've been working on and if there's anything cool that they've come across, they'll mention that at that point in time. Oh, I found this interesting website here or I did that.

Then the final thing is question time. At question time, this is you can ask Dave any question you like, unrelated to work. At that point in time, because I'm encouraging my team members and they get all the training and that type of thing, I will give them an opportunity. They've got little side businesses. Some people are setting up their own blogs and that type of thing. So we'll talk about their own little businesses that they've got going on the side and I'll help and give my input. They'll say, I'm trying to figure out, I've got this job running, this job running and I'm trying to make each of them work.

I'll try to give them that key distinction that they need to hear, which is, you need to focus, cut all of those other ones out and choose that one because I think it's got the best chance of success. That's what I do in that time with them, it's about trying to help them and give back to them. That's what I want to do, I want to give back to them, just give, give, give. If you help enough people get what they want, you'll get what you want, which is classic Jim Rohn material.

Then we've got some other suggestions on team meetings. Make sure that you have a start time, make sure that you have an end time and stick to it. Make sure that you have an agenda as well. Otherwise meetings can be unproductive and you just spend all day in a meeting and there's nothing really gained from it. So it's important to have that agenda and also take notes. That way your meeting becomes a very effective tool for team management.
